How a VA business ended up automating everything
In 2018 I wanted two things: to work from wherever, and to find out what else I enjoyed. My first client was Hoxby. I ran their inbox and diary, drafted community messages so the team could get on with strategy, and picked up whatever admin got in the way.
Within a few months I'd seen inside enough businesses to spot a pattern. Every one of them ran on a spreadsheet that fed a CRM that fed another spreadsheet, held together by someone's memory and generalised panic. The work was simple. Someone just had to do it, by hand, every week, forever.
I'd spent years automating exactly this in marketing software. Somebody fills in a form, three things happen and that same logic worked for invoicing as well as it did on an email campaign.
So I stopped doing the tasks and started removing them. That's still the rule we work by: if you can explain it, we can build it. Eight years and 10,000+ workflows later, the name caught up.
Why WoahFlow
Flow is the state a business gets into when its processes are designed rather than inherited. Work moves between people and systems without anyone chasing it, handovers happen without a reminder, and the week has room in it again. That's what we build towards, so that's the word we built the name around.
