What WoahFlow does

WoahFlow is a operations and systems consultancy that helps founders and small to medium-sized businesses map, optimise and automate their workflows. We were founded in 2018 as Assist Virtually and rebranded as WoahFlow in 2026.

We started out doing the admin ourselves, inboxes, diaries, onboarding and community messages, and quickly realised that the logic behind marketing automation works for almost every part of a business. If you can explain it, we can build it.

We found that founders don't need more software. They need someone to look at how work actually moves through the business, spot where it gets stuck, and connect the tools they already pay for. That's what we do, from the first map through to ongoing support.

Always. Our mantra is "if you can explain it, we can build it", but we need to understand it first. Mapping comes before any tool recommendation or build.

Each automation costs between £550 and £750 plus VAT, depending on how much customisation it needs. The price is agreed before we start, and support after go-live is charged hourly.

What will we own at the end?

Everything. Automations are built in your own accounts, and each one comes with a user guide for your team and technical documentation, so you can maintain it with or without us.

What happens if an automation fails?

We build in alerts so failures are spotted quickly, keep a human approval step where judgement matters, and document how each workflow works so problems are easy to trace and fix.

How do you handle UK GDPR and sensitive data?

We map what data each workflow touches, keep access to the minimum needed, and build within your own systems rather than ours. Data protection is part of the roadmap, not an afterthought.

Which tools do you work with?

We're HubSpot and Capsule CRM partners and regularly connect tools like Xero, Google Workspace, Microsoft 365, Meta ads and booking or payment platforms. We'll recommend whatever genuinely fits, often the tools you already pay for.

What would you advise us not to automate?

Anything that relies on judgement, relationships or a personal touch your clients value. That's the Humanise part of our method: automation handles the admin so your people can focus on the human work.
